Committee Roles

President
The President will ultimately be responsible for the overall operations of the MPS Society, and may chose to delegate or undertake many tasks during their term of office.  The President's role within a club can be split into two main categories, chairperson and manager.  The following outlines the Presidents major tasks:
• Chairperson at committee meetings
• Oversee and coordinate the activities and administration of the Society
• Ensure the committee perform their allocated duties
• Ensure that all tasks necessary for running the club are performed or delegated
• Have a thorough knowledge of the Club Rules of Association (Constitution), Incorporation requirements and the various club requirements
• Plan and coordinate the years activities, following consultation with other committee members
• Be familiar with budgeting
• Liaise with your Club Mentor, sponsors and suppliers


Deputy President
This position entails:

• Acting as deputy chairperson at all meetings and chair meetings when the President is unavailable
• Ensuring the club's activities are in line with the Club Constitution, Club and Society By-laws and Monash University Student Union Inc. Rules of Association
• Fulfilling other duties as the President or committee may delegate
• Assist the President


Secretary
The role of the secretary is outlined below:
 
Preparing for meetings
• Prepare and distribute notice of meetings (include date, time, location) to committee members
• Prepare and distribute the agenda following consultation with other committee members
• Check minutes of the last meeting and ensure all committee members have the opportunity to have a look at them prior to their proposed adoption
• Book the meeting room if required
• Advertise the meeting to club members (if applicable) i.e. the AGM or a General Meeting

At meetings
• Bring to the meeting the club constitution, all correspondence and other relevant documents
• Take minutes at the meeting, include who was present, and all motions, i.e. . spending approval for functions or committee reimbursements.  Include who moved the motion, and the seconder and the result of the vote.  Please record motions as accurately and specifically as possible, especially where reimbursements for committee members and items of expenditure are concerned.

 Between meetings
• Ensure minutes of the meeting are typed and circulated to committee members and to the relevant Club Mentor.  This is extremely important as the minutes represent the official record of the meeting and are essential for future reference
• Attend to correspondence

 
Other general tasks that may be assigned to the secretary or another committee member
• Maintain a register of club equipment, if no specific officer exists
• Keep a calendar of events
• Keep an accurate and up to date register of all financial members 


Treasurer
This position requires diligence to ensure correct records are maintained. 

Duties include:
 • A thorough understanding of the MONSU financial procedures (see Financial Procedures  section)
• Depositing all monies received, as soon as possible, at the MONSU Service Desk – the club should NOT pay cash for goods 
• Signing club cheque requisition forms, (except when a reimbursement cheque is being made out to themselves)
• Budget preparation, for the year and for individual events 
• Preparing financial reports for committee meetings, general meetings and as requested by the club committee or MONSU
• Setting up financial records for the club and maintaining the records throughout the term of office.


Activities Officer (Academic)
This role will entail organising academic-related activities for the society (eg. Careers evening, etc), which provide an opportunity for student members to network with potential employers and academics.  The position will require interaction with relevant academics and external health providers, whilst also having scope for promoting intervarsity involvement with other Physiotherapy courses.  This position may also require interaction with the MONSU Activities portfolio.


Activities Officer (Social)
With the support of the Society committee, this position will be involved with organising all social events for the Society.  This position may also require interaction with the MONSU Activities portfolio.


Publicity Officer (Web)
This position will require someone who is either very capable with web design, or is confident in coordinating the planning, development and construction of a Monash Physiotherapy Society website.  This position provides endless scope for creativity and it is envisaged that a Monash Physiotherapy Society website will be very functional and regularly accessed by all MPS members and external stakeholders.  It will provide a platform for promoting a range of things, as well as allowing advertising for Society sponsors, and showcasing past and future efforts of the society.


Publicity Officer (Events)
This role will provide publicity support for all activities of the Society, through all relevant modes of media.


APA Liason
This position will interact closely with the student branch of the Australia Physiotherapists Association, and provide a direct means for effective two-way communication.


WILDFIRE Liason
This position will interact closely with Monash’s Rural Health Club: WILDFIRE.  With rural, indigenous and international health being a major focus of WILDFIRE, this position will ensure that the Monash Physiotherapy Society (MPS) can have input into their efforts, whilst MPS will also be receiving support from the WILDFIRE committee.  It will also allow members of MPS to become better educated about the issues surrounding rural health and potentially make a difference in these communities.  It is expected that the holder of this position will attend WILDFIRE Peninsula meetings so that direct two-way communication between the clubs can be effective and ensure productive outcomes.


Sponsorship Officer
External sponsorship will be a major source of income for the Monash Physiotherapy Society so that activities and events can be subsidised for its members.  This role would involve developing sponsorship partners with the assistance of MONSU, and then work to maintain these professional/corporate relationships throughout and beyond the elected term of office.


PD Officer
Professional Development will be an integral component of future work as a Physiotherapist.  However, there is also scope to undertake further training to improve skill bases whilst still being a Monash Undergraduate student.  This position will organise professional development sessions and communicate to student members of all relevant PD courses available within and outside of Monash University.

 

MWOP 1
The Member Without Portfolio 1 is a flexible and exciting position that can entail a variety of tasks throughout their term of office.  The position allows for involvement in a range of committee organising activities that may be delegated by the President or the MPS committee.  It can also provide an opportunity to gain involved within the committee when and then use this experience to nominate for another MPS committee position in 2007.


MWOP 2
